Contacts

The “Contacts” tab holds all the people you keep in Linknor. From here, you create contacts, link them to your address book, arrange favorites, and move contacts you no longer need to the archive.

The contact list #

The list shows all active contacts, sorted by last name and grouped by first letter. Names without letters appear under “#”. Use the “Contacts | Lists” bar at the very top to switch to your lists and distribution lists.

Each row shows the photo or initials, the name, the salutation badge (informal or formal), and below that the organization, role, and place. Below that are up to three tags. On the right, you see when you were last in touch. A bell indicates a follow-up that is set. A star marks favorites.

  • Tap a row to open the contact profile.
  • Use the letter index on the right edge to jump to a letter. You can also drag your finger across it.
  • The question mark at the top left opens the help for this view.
NotePhotos and company names come from your address book. For this, Linknor needs access to your contacts. Without contacts, you see “No contacts yet” and can link a contact right away.

Search contacts #

The “Name, organization, tag…” search field is at the top above the list. Linknor searches as you type. It searches names, roles, organizations, places, tags and tag categories, general notes, the source, and the company name from the address book.

While you search, Linknor hides the favorites strip and the letter index. Use the “×” next to the search field to end the search.

  • When you tap into the empty search field, your “Recent searches” appear. Tapping a term searches for it again.
  • A term is saved when you confirm the search with the Return key.
  • Remove individual terms with the “×”, or all at once with “Delete all”.
TipIf you search for organizations or tags, you see all the people who belong to them at a glance. For combined criteria, use the advanced search under More › Advanced search.

Favorites #

Favorites appear at the very top of the list as a row of photos. The number next to it shows how many favorites you have. If someone has a birthday within the next seven days, you see a cake icon on the photo instead of the star.

When you tap a photo, a small window opens with “Call”, “Message”, “Email”, and “Open contact”. Calls go through Callnor or the Phone app, Message opens your messenger directly, and Email opens your mail app. Linknor logs these actions as communication.

How it works

  1. In the favorites strip, tap “…”.
  2. Under sorting, choose “Sort manually” or “Sort by activity”.
  3. To make changes, tap “Edit favorites”. Drag photos to a new position, remove a favorite with the red “–”, or add more with “Add”.
  4. Tap “Done”.
NoteIf you drag a favorite to a new position, Linknor automatically switches the sorting to “Manual”.
TipYou can also set a favorite in the contact profile with the star on the photo, or by swiping in the list. If you have no favorites yet, Linknor suggests suitable contacts.

Add contacts #

Use “+” at the top right to open the add menu. There are two ways: link an existing contact from your address book, or create a completely new contact.

Link contact shows your address book contacts under “Choose contact”. Tap a person, and Linknor creates a profile and opens it. With “Select”, you link several people at once. If you have several address book accounts, filter by the accounts at the top. Use the filter icon to show contacts that are already linked.

Create new contact opens a full editor with name, phone, email, address, company, dates such as the birthday, and other fields. With “Save”, Linknor saves the contact in your Apple address book and creates the matching profile.

  • The menu also contains the “Data maintenance assistant”, “Select”, and “Export all (vCard)”.
  • For the contact photo, choose camera, photo library, or an online image search. With the image search, the name you entered is sent to a search service on the internet.
NoteWithout Linknor Premium, you can link or create up to 10 active contacts. The display at the top of the selection sheet shows how many you already use.

Assign unlinked contacts #

Each device links a Linknor profile to its own contact in the address book. If a profile arrives via iCloud from another device, this link is sometimes still missing on this device. Such contacts carry the “not linked” badge in the list.

At the top above the list, a notice shows how many contacts are affected. Tap it to see only these contacts (“Only unlinked”). Tap again to clear the filter.

  • Automatically: Tap “+” › “Assign N unlinked now”. Linknor compares email, phone number, and name. It links unambiguous matches immediately. Uncertain matches appear in the “Assign contacts” sheet for review. There, tap the right candidate, choose “This is me” for your own profile, or “Skip”.
  • Manually: Open the profile and tap “No local contact on this device”. In device linking, choose “Assign contact manually” and look up the person in your address book.
NoteThe assignment applies only to the device in question. On another device, the same profile can be linked to a different address book contact.

Edit several contacts at once #

In selection mode, you edit several contacts together. A selection circle appears in front of each row. At the bottom, you see how many contacts are selected.

How it works

  1. Tap “+” › “Select”.
  2. Select the contacts you want, or tap “All” at the bottom. Use “None” to clear the selection.
  3. Open the “Action” menu and choose an action.
  4. Confirm the prompt. Use “Done” to leave selection mode.
  • “Set favorite” makes all selected contacts favorites.
  • “Export (vCard)” creates a vCard file and opens the iOS share menu.
  • “Assign life area” assigns a life area to all of them or removes the assignment.
  • “Archive” moves all selected contacts to the archive.
NoteWhen you archive in selection mode, there is no undo. You can, however, restore the contacts from the archive.

Swipe actions in the list #

If you swipe a contact row to the left, two buttons appear. “Favorite” sets the contact as a favorite; for a favorite, the button is called “Remove”. The second button removes the contact from the list.

What happens depends on the contact. If you have entered your own data for the person or linked them yourself, the button is called “Archive” and the contact moves to the archive. If a contact is only linked automatically and contains no data of your own, the button is called “Remove link”. Linknor then only removes the link, and you can link the person again later.

  • Before the action runs, a prompt lists the existing data.
  • Afterwards, a bar for undoing appears briefly.
  • The contact in your Apple address book is kept in any case.

Archiving and the archive #

Archived contacts disappear from the list, but their data is kept. They no longer appear on Home, in reminders, in relationship care, or in exports. You can archive by swiping in the list or via selection mode. The “Move to Archive?” prompt shows which data exists.

You open the archive via More › Archived contacts. Each row shows since when the contact has been archived.

  • Restore: Swipe a row to the right, or press and hold it and choose “Restore”. The contact appears in the list again.
  • Check links: Tap a contact. Under “Links”, you see who has entered them as a relationship or under “Known through”. You can remove these references one by one.
  • Delete permanently: Swipe to the left and tap “Delete”, or choose “Delete permanently”. Linknor then deletes all Linknor data of the person, including other people’s relationships to them.
NotePermanent deletion cannot be undone. The contact in your Apple address book is kept.
