Organizations

Organizations

Organizations bring together the people, roles, meetings, and documents of a party, an association, a company, or a public authority. Here you create organizations, maintain their members, and see what's happening in them.

Organization list #

The “Organizations” tab shows all organizations in alphabetical order. Each row shows the logo or type icon, the name, a label if there is one, the “Type · Level · Location” line, and the number of members on the right. Tapping a row opens the organization profile. Subgroups don't appear in this list, only in the profile of their main organization.

Organizations with the same name but a different level or location are separate entries, for example an association at the municipal level and one at the state level.

  • Search field “Search name, level, location or role”: also finds role titles and the names of members.
  • “Type”, “Level”, and “Location” filters above the list; “Reset” clears all filters.
  • “…” menu at the top right: “New organization” and “Auto-detect companies”.
  • Swipe a row to the left or touch and hold it: delete the organization. Linknor asks for confirmation first. Contacts, documents, and encounters are kept; only the links are removed.
NoteThe “Level” and “Location” filters appear only once at least one organization has a level or a location.

Create organizations and detect them automatically #

You create new organizations via “…” › “New organization”, via “Create organization” when the list is empty, or with the quick action on the “Home” tab. The “Create organization” form opens with name, type, level, location, label, and description. The “Edit organization” section explains the fields.

“Auto-detect companies” searches your linked contacts for the same company and the same business location. As soon as two contacts share the same combination, Linknor creates an organization of the type Company, with the city as its location, and assigns the contacts with the role “Employee”. The “Company detection” notice reports how many new links were created.

Note“Save” becomes active only once name, level, and location are set. Auto-detection reads company and business address from the iOS address book, read-only, and considers only contacts that are linked to the address book.
TipDetection doesn't re-create organizations you have deleted or members you have removed.

The organization profile #

Tap an organization in the list. At the top is the header card with logo, name, “Type · Level · Location”, and description. Below it follow cards that you collapse and expand via their header: “Alternate label & letterhead”, “Subgroups”, “Encounters”, “Members & roles”, “Tasks”, “Anniversaries”, and “Documents & content”.

If the organization is linked to a list, the “In lists & groups” card appears at the end; tapping it opens the list.

The “…” menu at the top right gathers the actions: “Edit”, “Add member”, “Add document”, “Assign existing content”, “Export PDF”, and “Delete organization”. Linknor asks for confirmation before deleting; contacts, documents, and encounters are kept.

TipYou set the order, visibility, and initial state of the Members, Anniversaries, Documents, and Tasks cards under More › Settings › Personalization › Organization sections.

Edit an organization #

Via “…” › “Edit”, you open the “Edit organization” form. It has the sections “Name & type”, “Level”, “Location”, “Alternative label”, and “Description”.

Name, type, level, and location together form the identity of the organization. Every different combination is a separate organization. If the new combination already exists, Linknor merges both entries with all their links instead of creating a duplicate. The alternative label doesn't change the identity.

  • “Type”: Party, Parliamentary group, Company, Association, Authority, School, Church, Initiative, Club, or Other.
  • You choose “Level” and “Location” from your master data. If an entry is missing, you create it right here with “Add new level” or “Add new location”.
  • “Description”: type the text or speak it with “Dictate” (uses the microphone).
  • The “?” at the top opens the quick help for the form.
Note“Save” is active only once name, level, and location are set.

Alternate label & letterhead #

The “Alternate label & letterhead” card determines how the organization appears in PDFs and letterheads. At the top, the identity “Name · Type · Level · Location” is shown for reference. The label is only an alternative name, such as a short form or the name of a committee; it doesn't change the identity.

Changes in the card remain a draft until you tap “Save”. “Reset” removes the label, logo, and address again.

  • “Choose logo” takes an image from your photo library.
  • “Logo from web” starts an image search with the label or name. Afterward, you crop the logo and tap “Apply”.
  • “Letterhead mailing address”: street, postal code, city, and country. The address appears on letterheads and in the map overview.
NoteThis card exists only for main organizations. Subgroups use the label, logo, and letterhead of their parent organization. The image search needs an internet connection.

Subgroups #

Subgroups represent bodies within an organization, such as a board, a committee, or a working group. In the “Subgroups” card, tap “Create subgroup”, choose the “Type”, and enter a name. The subgroup takes over type, level, and location from the main organization.

Subgroups appear only in the profile of the main organization, not in the organization list. Their own profile has a capsule at the top that leads back to the main organization. You maintain members, meetings, tasks, and documents there as with any organization. In the “Encounters” card of the main organization, the “Including subgroups” switch includes the meetings of the subgroups.

  • Types: Supervisory board, Advisory board, Board, Board of directors, Committee, Working group, Department, Team, Other.
NoteThe “Including subgroups” switch appears only if there is at least one subgroup.
TipWhen you export a subgroup as a PDF, Linknor uses the letterhead of the parent organization and adds the name of the subgroup.

Members & roles #

The “Members & roles” card lists the current members with “Role · Level · Location” and the “Active” tag. Tap a person to open their profile. With the “Search name or role…” search field and the filter chips by role, you narrow down the list; tapping a chip a second time clears the filter.

To add someone, tap “+” in the card or “…” › “Add member”. Enter the “Role” at the top (prefilled with “Member”), search for the contact, and tap the green plus. The role takes over level and location from the organization. People who are already members don't appear in the selection. “Done” closes the sheet.

  • Remove a member: touch and hold the row › “Remove member”, and confirm. The contact is kept; only their role in this organization is removed.
NoteThe role chips appear once there are two different roles. The “My profile” row in the selection sheet appears only if your own profile is set up.

Meetings and attendance #

The “Encounters” card shows the latest meetings of the organization with date, title, number of participants, and the number present and absent. Tapping one opens the encounter. Below are three actions.

  • “Record meeting” opens a new encounter that is already linked to the organization. Its members are listed under “Participants & attendance”. “All present” or “All absent” sets the status for everyone; you correct individual people afterward.
  • “Import from calendar” takes over appointments from your calendar. Choose the calendar at the top, select the appointments, and tap “Import (n)”. The organization is already assigned; appointments you have already captured are marked “Already captured”.
  • “Open attendance matrix” shows people in rows and meetings in columns, with present, absent, or unknown in each cell and the rate on the right. People below 50% are highlighted once there are two counted meetings. Via the share icon, you pass on the matrix as a PDF.
NoteThe attendance matrix appears once there are two encounters. The calendar import needs access to your calendars. If it finds no one among the invitees, Linknor adds all members of the organization as participants.

Tasks and anniversaries #

The “Tasks” card shows open tasks of the organization, sorted by priority and due date. With “New task”, you create one. Tapping the circle checks it off; tapping the row opens it for editing. “Show completed” shows finished tasks.

The “Anniversaries” card collects the members' occasions in the next twelve months: birthdays, mandate anniversaries, and life events, each with the date and the number of days until then.

  • If roles are missing a start date, the notice “n mandates without start date” appears. It opens the “Add start dates” assistant: choose the date for each person and tap “Save and continue” or “Skip”. Linknor calculates the mandate anniversaries from this date.
TipYou add missing start dates for all organizations at once via More › Add start dates.

Documents & content #

The “Documents & content” card lists all items linked to the organization, newest first. Tapping one opens the item. Once there are two content types, you filter with chips such as “Document” or “Call”. A long press offers “Edit”, “Open link”, and “Delete”.

The card's header has three buttons. “Add document” and “Assign existing content” in the “…” menu lead to the same sheets.

  • Scan document: opens the camera's document scanner. The scan goes to the Inbox as a PDF and is linked to the organization.
  • Link existing content: opens “Assign content”. Select one or more items and tap “Assign (n)”. Capsules show which organizations an item is already linked to.
  • Create new content: opens “Add content” with category, title, text (also via “Dictate”), image, file, and URL. The link to the organization is already filled in.
NoteThe scan button appears only on devices with a document scanner. On the first scan, iOS asks for camera access. “Open link” opens the address in the browser.

Export as PDF #

Via “…” › “Export PDF”, you create a PDF of the organization. Linknor shows it in a preview. Via the share icon, you save or send it with the usual iOS options. Label, logo, and letterhead address are included in the document.

  • “Organization overview”: core data, key figures, and member list.
  • “Full organization report”: additionally encounters, documents, and subgroups.
  • “Report with member profiles”: additionally a profile for each member.
  • “Members list only (compact)”: only the members in short form.
  • “Member list with profiles”: the members with detailed profiles.
