Tasks
Tasks record what you want to get done for your contacts and organizations, such as a callback, a follow-up email, or a document. You can link them to people, organizations, and content.
Task list #
On the Home tab, the “Tasks” area shows the three most important open tasks. Use “Show all →” to open the full list. At the top, you switch between the “List”, “Board”, and “Statistics” tabs.
Swiping on a row offers “In progress” and “Delete”; a long press offers the status and “Delete”. After deleting, you can undo the step.
- Quick buttons “Smart suggestions”, “Templates”, and “New task”.
- Filters “All”, “Mine”, and “Waiting”: “Waiting” lists tasks that someone else is responsible for.
- Each row shows the due date, linked people, and a colored priority dot. Overdue tasks carry a warning icon.
- Tap the circle: the task is done. Tap the row: the task opens for editing.
- “Show completed” shows the most recently completed tasks, “Hide completed” hides them again.
Board #
On the “Board” tab, you see your tasks as cards in three columns: “Open”, “In progress”, and “Done”. Each column shows the number of its cards at the top. The cards show the due date, repeat, and the number of linked people and items.
Drag a card to another column to change its status. Tapping opens the task for editing. Swipe horizontally to see the other columns.
Task statistics #
The “Statistics” tab shows how you are progressing with your tasks. At the top are the numbers for “Open”, “Done”, and “Overdue”. The statistics are display only; you can collapse the individual sections.
- “Weekly”: your tasks over the last few weeks.
- “By priority”: open tasks per priority.
- “Completion rate”: share of completed tasks and average time to completion.
- “Productivity streak”: on how many consecutive days you have completed tasks.
Create a task #
In the task list, tap “New task” or the plus button. You can also create tasks on the Home tab, in a contact profile, or in an organization profile. If you create a task from an organization, it is already linked to it.
Under “Responsible”, you set whether you are responsible yourself or are waiting on someone else.
How it works
- Under “Task”, enter a title. Type notes or speak them with “Dictate”.
- Choose the “Priority”: “Low”, “Medium”, or “High”.
- Turn on “Due date” and set “Due on”.
- Under “Repeat”, choose “None”, “Daily”, “Weekly”, “Every 2 Weeks”, “Monthly”, or “Yearly”.
- Turn on “Reminder” if needed.
- Under “Links”, link contacts, organizations, or content and tap “Save”.
Tasks from templates #
There are templates for recurring types of tasks. They prefill the title, priority, repeat, and due date. In the list, each template shows its priority, any repeat, and in how many days the task will be due.
How it works
- In the task list, tap “Templates”.
- Choose a template, for example “Callback”, “Follow-up email”, “Prepare meeting”, “Review document”, “Weekly update”, or “Birthday”. With “Empty task”, you start without a template.
- Adjust the prefilled task and tap “Save”.
Smart suggestions #
Smart suggestions turn your analyzed content into tasks. They are based on the recommended actions and follow-up candidates from the AI analysis in the Inbox. Linknor creates the selected tasks and links them to the item they come from.
How it works
- In the task list, tap “Smart suggestions”.
- Under “Suggestions from your content”, you see each suggestion with its source, estimated due date, and priority.
- Select the suggestions you want or tap “Select all”.
- Tap “Create (n)”.
Edit a task #
Tap a task in the list, on the board, on the Home tab, or in a profile. The “Edit task” sheet contains the same fields as when creating a task, plus the “Status”: “Open”, “In progress”, or “Done”.
Change what you need and tap “Save”. “Cancel” discards the changes.
Follow-ups #
A follow-up reminds you to get back in touch with a person. Unlike a task, it is attached directly to the person.
On the Home tab, the “Follow-ups” area shows people whose follow-up is due in the next seven days or is already overdue. The “Reach out now?” area also suggests people you should get in touch with, for example because your last contact was a long time ago. Tapping opens the profile in each case.
- From an encounter: in the “Follow-up” section, turn on “Follow-up needed?” and choose a date. When you log an encounter, the follow-up applies to all directly linked people.
- From a person's context profile: “Set follow-up” with a date, as a recurring follow-up if you want.
