Encounters record when you met whom: get-togethers, meetings, conversations, or events. Each encounter includes participants, attendance, notes, attachments, and, if you want, a follow-up.

Encounter list #

Encounters don't have their own tab. You open the full list on the Home tab, in the “Recent encounters” card, via “Show all encounters”. Encounters are grouped by month, with the newest at the top.

Each row shows the title, date, number of people, and location, plus avatars, organizations, and tags. A bell marks a follow-up, a calendar icon a linked calendar event. Tapping an encounter opens “Edit encounter” directly.

  • Search field “Search by title, person, location…”: also finds notes, occasion, and organizations.
  • “Active”, “Archive”, and “All” determine which encounters you see.
  • The filters “Follow-up”, “With notes”, and “Last 30 days” narrow the list further; “All” removes the filter.
  • Buttons at the top: statistics (bar icon), help, and “Add” (plus) for a new encounter.

Log an encounter #

You create a new encounter on the Home tab with the quick action “Log encounter”, in the encounter list with the plus button, or in a contact or organization profile in the “Encounters” section. From a profile, the person or organization is already selected.

If you choose an organization, its members appear with their own attendance status. People you have already added directly are grayed out there and are not counted twice.

How it works

  1. Under “Basic data”, enter a title (optional) and set “Start”. With “Set end time”, the “End” field appears.
  2. Enter an “Occasion / event” if needed.
  3. Under “Context”, choose the “People” or “Organizations” tab and add participants via search or the A–Z list.
  4. Under “Participants & attendance”, set “Present”, “Absent”, or “Unknown” for each person, or use “All present” or “All absent”.
  5. Tap “Save”.
TipWhen logging an encounter, you find notes, location, and level in the “Context” area under the “People” tab. With “Add to Calendar”, Linknor also creates an event in your calendar when you save.

Edit an encounter #

Tap an encounter in the list, on the Home tab, or in a profile to open “Edit encounter”. You can expand and collapse each section individually.

  • “Basic data”: title, start, end, and occasion.
  • “Participants & attendance”: the “Directly Linked” card with the status of each person, below it linked organizations with their members. Use the “People” and “Organizations” tabs to add more.
  • “Context & notes”: write or dictate notes, “Insert template”.
  • “Attachments”: attach items “From inbox”, or use “Create new” to add a photo, a file, or a text.
  • “Tags”: “Select topics…” or accept one of the “Suggestions from your notes”.
  • “Follow-up”: “Follow-up needed?” with a date.
  • “Calendar”: “Linked to calendar” with “Open”, calendar selection, and “Export again”.
  • “Delete encounter” at the very bottom moves the encounter to the trash. If a calendar event is linked, you choose whether to delete it as well.
Note“Open” in the “Calendar” section shows the event in Weeknor if Weeknor is installed; otherwise the Calendar app opens.
TipYou set the order and visibility of the sections under More › Settings › Personalization › “Encounter sections”.

Note templates #

Templates give your notes a fixed structure, for example for minutes or a trade fair conversation. The template text is appended to the existing notes; then you fill in the fields.

How it works

  1. In the “Context & notes” section, tap “Insert template”.
  2. Choose a category at the top: “All”, “Meeting”, “Event”, “Networking”, “Call”, or “Custom”.
  3. Tap a template, for example “Meeting Notes”, “Trade Fair / Conference”, “Networking Event”, “Call”, “Brief Meeting”, or “Business Dinner”.
  • With “+”, you create your own template: name, category, icon, and template text.
  • To delete a custom template, swipe it to the left.

Import events from your calendar #

Instead of logging encounters by hand, you can import events from your calendar. To do this, Linknor reads your calendar; the first time, iOS asks for permission. Each selected event becomes an encounter with title, time, and calendar note. Linknor recognizes participants by the names of the invitees.

  • “Import from calendar” in the “Encounters” section of an organization or contact profile, or via the calendar icon of the “Log encounter” quick action: search, calendar selection, and “Hide imported”. “Load More Events” and “Load Older Events” extend the time range. For a selected event, you set the organization; from an organization profile, it is already filled in. Then tap “Import (n)”.
  • More › Settings › Import & export › “Events from calendar”: choose a period (e.g. 30 days), select events or “Select all”, then “Import (n)”. Linknor then reports “Import completed”.
TipUse the filter button in “Calendar Selection” to hide individual calendars, such as holidays or birthdays. The selection also applies to Weeknor.

After the import, the event appears in the organization’s “Encounters” card.
On the MacOn the Mac, Weeknor is built in (⌘9): events and encounters appear in one weekly view. In the encounter window, “Add to Calendar” adds an encounter as an event.

Meetings and attendance #

For clubs, committees, and working groups, Linknor records who attended which meeting. Open the organization and, in the “Encounters” section, tap “Record meeting”. The sheet is prefilled with the organization and its members. Set “Present”, “Absent”, or “Unknown” for each member, or use “All present” or “All absent”.

The attendance matrix shows an organization's meetings as a table: people in the rows, dates in the columns, and the attendance rate on the right. You open it in the organization profile via “Open attendance matrix”. With the share button, you pass the matrix on as a PDF via the Share sheet.

Note“Open attendance matrix” only appears once the organization has at least two encounters.

Archive, restore, delete #

You can archive encounters you are done with. They disappear from the active list but are kept and can be brought back at any time.

Before archiving, Linknor asks “Archive encounter?”. Afterward, a notice with “Undo” appears at the bottom. Deleted encounters go to the trash under More › Trash.

  • Long press on an encounter: “Edit”, “Archive”, “Delete”, and, if a calendar event is linked, “Open in Calendar”.
  • Swipe left: “Edit”, “Archive”, “Delete”.
  • In the “Archive” segment, swipe left: “Restore” or “Delete”.
Note“Open in Calendar” switches to the Calendar app.

Encounter statistics #

In the encounter list, tap the bar icon at the top left. The “Encounter statistics” sheet summarizes your encounters. It is display only; “Done” closes it.

  • Key figures “Total”, “This month”, “Ø per month”, and “With Follow-up”.
  • “Encounters per month” for the last six months.
  • “Top contacts”: whom you meet most often.
  • “Weekdays”: on which days encounters take place.
  • “Topic distribution”: the most frequent tags on encounters.
